Major Welding & Construction Ltd. is looking for an Administrative Executive to support day-to-day operations within our fabrication shop and field dispatch operation.
This role includes scheduling work, coordinating purchasing, handling contractor invoices, assisting with bookkeeping responsibilities, and helping maintain organization between office operations, field crews, and management.
We are looking for someone who is organized, proactive, detail-oriented, and interested in growing within a fast-paced company.
Key Responsibilities:
- Support and coordinate dispatching of field crews and shop workflow.
- Act as the first point of contact for clients including calls, emails, and job intake.
- Set up jobs, work orders, and customer profiles in Service Fusion.
- Maintain scheduling systems and ensure real-time operational accuracy.
- Track certifications including WCB, safety records, and tickets.
- Coordinate purchasing, materials, and deliveries.
- Input job tickets, contractor invoices, and assist with bookkeeping and job costing.
- Assist with invoice tracking, payable/receivable organization, and administrative financial support.
- Maintain communication between clients, field crews, shop personnel, and management.
- Identify operational inefficiencies and assist with improving internal processes.
Qualifications & Skills:
- Strong organizational and time-management skills.
- Clear and professional communication.
- Ability to manage multiple tasks and shifting priorities.
- Strong computer skills with above-average proficiency in Excel, Word, and office systems.
- Experience with QuickBooks Online.
- Experience with Service Fusion or similar scheduling/dispatch software is considered an asset.
- Dispatching, scheduling, bookkeeping, or administrative experience preferred.
- Familiarity with welding, fabrication, construction, or manufacturing environments is considered an asset.
- Interest or experience in digital marketing, social media, or content creation is an asset.
